Telenor Shared Services Portugal is part of the Telenor Group, a global telecom company. Telenor Shared Services has its head office in Norway with main hubs in Portugal and Pakistan and services and employees located in Sweden, Denmark and Finland.
We are looking for a highly organized Office Manager to join our team. In this role, you’ll be at the heart of our operations, ensuring the office runs smoothly and efficiently, creating a pleasant and welcoming environment for all team members and visitors. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail.
What will you work on?
As an Office Manager, your responsibilities will include:
Operation & Administration
- Collaborate closely with the Country Manager and other roles (as needed), to support daily operations
- Act as the primary point of contact for suppliers, landlord, maintenance services, visitors and employees - assisting with queries and offering guidance on a wide range of topics
- Manage workspace organization to foster a productive, safe and welcoming office environment
- Oversee office fitouts, improvements and on-going and maintenance projects
- Monitor and manage office expenses and handle purchases
- Maintain records of office assets and IT equipment
- Carry out courier-related tasks, including sending mail or packages, delivering documents, and handling small local errands such as purchasing office or kitchen supplies
- Help implement office policies and procedures
- Support with onboarding new hires by preparing workstations, equipment, welcome materials and enrolment on different platforms
Compliance & Safety
- Support the Country Manager in ensuring full compliance with Portuguese Health and Safety regulations and internal safety protocols
- Assist in managing risk assessments and periodic health & Safety audits, updating documentation as needed
Culture & Engagement
- Help plan and coordinate internal social activities, team meetings and company gatherings
Who are we looking for?
- Proven experience as an Office Manager
- Full professional proficiency in English and Portuguese
- Strong communication skills, with the ability to clearly share information across multicultural and international teams
- Strong sense of autonomy, able to take ownership and make decisions independently
- Ability to work independently and as part of a team
- Excellent organizational skills with the ability to multi-task
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Ability to maintain confidentiality and handle sensitive information with care
- Availability to work 3-4 days a week at the office
